Who we are

This Privacy Policy explains how NetCore Solutions (netcoresolutions.com) (“NetCoreSolutions,” “we,” “us,” or “our”) handles information collected through netcoresolutions.com (the “Website”) and through our business-to-business email outreach. We’re a Chicago-based technology firm serving organizations throughout Illinois. Our consulting and IT services are offered to businesses in Illinois, while Duecore (our invoicing software) and related outreach serve small businesses across the United States. We provide web application development, cybersecurity and compliance consulting, and AI automation consulting.

This policy covers the Website and our business-to-business email outreach. If you become a client, a separate written agreement governs the information you share with us during that engagement.

Information we collect

Information you give us through the contact form

When you use the contact form on our Website, we collect:
– First and last name
– Business email address
– Company name (optional)
– The service you’re interested in
– Your message, and anything else you choose to include in it (for example a phone number)

Please don’t send passwords, access credentials, or other sensitive security details through the contact form. If a project needs that kind of information, we’ll arrange a secure way to share it.

Information you send by email

If you email us at info@netcoresolutions.com, we receive your email address, your message, and anything you attach.

Information you give us when you book a demo

When you book a Duecore demo from our Website, you’re taken to HubSpot’s meeting scheduler. It collects the name, email address and any other details you enter, so we can schedule and prepare for the demo. HubSpot handles this information as our service provider under its privacy policy at https://legal.hubspot.com/privacy-policy.

Business contact information we use for outreach

We collect business contact details (name, business email, job title, company, and business location) from public sources such as company websites and business directories, and from business-contact data providers, to contact businesses about our services and products. If you reply to one of our outreach emails, we also receive your reply and anything you include in it.

Information collected automatically: analytics

We use Google Analytics 4 to understand how visitors use the Website, for example which pages are visited, how long visits last, what kind of device and browser are used, the approximate location (city or region, based on IP address), and how visitors arrived at the site. Google Analytics uses cookies and similar technologies to collect this information (see “Cookies and how to opt out” below). We use it to see how the Website is used as a whole. We don’t use it to identify individual visitors.

We use Google Analytics only to understand how the Website is used. We don’t use it to show you targeted advertising.

Information collected automatically: server logs

Like most websites, our hosting provider’s servers automatically record basic technical information when you visit, such as your IP address, browser type, the pages requested, the referring page, and the date and time of the request. These logs are used for security, troubleshooting, and keeping the Website running.

Third-party resources the Website loads

To display the Website, your browser also loads fonts from Google Fonts and styling code from the Tailwind CSS content delivery network. When your browser requests these files, those providers receive your IP address and basic browser information.

How we use information

We use the information described above to:
– Respond to your inquiry and communicate with you about the services you asked about
– Schedule and prepare for consultations
– Contact businesses by email about our services and products (business-to-business outreach), and track replies and interest
– Keep track of inquiries, replies, and business relationships in our customer relationship management (CRM) system
– Operate, maintain, secure, and improve the Website
– Understand, in aggregate, how visitors use the Website
– Detect, prevent, and respond to spam, abuse, fraud, or security incidents
– Comply with legal obligations and enforce our Terms of Service

We don’t sell your personal information, and we don’t share it for cross-context behavioral advertising.

We won’t add you to a marketing mailing list just because you used the contact form.

How we share information

We share information only with service providers that help us run the Website and our business, and only as needed for them to provide their services:
– Website hosting: Hostinger hosts the Website and its server logs.
– Email: contact-form messages are delivered by email through Titan Email, our business email provider, to our mailbox at info@netcoresolutions.com, where they’re stored.
– Analytics: Google (Google Analytics 4) processes Website usage data as described above. Google’s own use of this data is described in its privacy policy at https://policies.google.com/privacy and at https://policies.google.com/technologies/partner-sites.
– Fonts and styling delivery: Google Fonts and the Tailwind CSS CDN, as described above.
– CRM: HubSpot, Inc. stores our contact and relationship records, including contact-form submissions and demo bookings made through HubSpot’s meeting scheduler that we record there, and notes about our communications with you, as our service provider. HubSpot’s privacy policy is at https://legal.hubspot.com/privacy-policy.
– Email outreach: Instantly sends and tracks our business-to-business outreach emails, and the email provider for our outreach inboxes delivers them. Instantly’s privacy policy is at https://instantly.ai/privacy.

We may also disclose information:
– If required by law, subpoena, or other legal process, or to respond to a lawful request from public authorities
– To protect the rights, property, or safety of NetCoreSolutions, our clients, or others, including to investigate security incidents
– As part of a merger, acquisition, or sale of all or part of our business, in which case this policy would continue to apply to the information transferred

We use HubSpot as our customer relationship management (CRM) system to keep track of inquiries, replies to our outreach, and business relationships. Contact-form submissions may be recorded in HubSpot. We don’t add you to a mailing list or send you marketing emails because you used the contact form.

How long we keep information

  • Contact-form submissions and emails: kept in our business email account (and, where recorded, in our CRM) for as long as needed to respond to you and manage any resulting business relationship, and then for up to 24 months after our last contact unless we need them longer for legal, tax, or contractual reasons. The Website itself doesn’t store form submissions in its database; they’re sent by email only.
  • Outreach and CRM records: kept for 24 months after our last contact and then deleted, or sooner if you ask us to delete them. If you opt out, we keep only the minimum needed (your email address) on a do-not-contact list so we never contact you again.
  • Analytics data: kept in Google Analytics for a limited period set in our Google Analytics account, after which Google deletes it automatically.
  • Server logs: kept by our hosting provider for a limited period, after which they’re deleted or rotated.

How we protect information

We use reasonable administrative, technical, and physical safeguards appropriate to a small business, including encrypted HTTPS connections to the Website, encrypted (SSL/TLS) connections when contact-form email is sent, anti-forgery checks on the contact form, and access to our email and Website accounts restricted to authorized people. No website or email system is completely secure, so we can’t guarantee absolute security.

If we learn of a security breach involving your personal information, we’ll notify you and any required authorities as required by applicable law, including the Illinois Personal Information Protection Act.

Cookies and how to opt out

Cookies are small text files stored by your browser.
– Analytics cookies: Google Analytics 4 sets first-party cookies (typically named _ga and _ga_<ID>) to distinguish visitors and sessions.
– Site functionality: the Website itself doesn’t need cookies for ordinary visitors. Cookies are used for people who log in to manage the Website, and our site-performance (caching) software may use technical cookies for logged-in users. We don’t run Google Analytics for logged-in site editors.

How to opt out:
– Install Google’s Analytics Opt-out Browser Add-on: https://tools.google.com/dlpage/gaoptout
– Block or delete cookies through your browser settings. Most browsers let you refuse all or third-party cookies. The Website will still work.
– Use a browser or extension that blocks analytics scripts.

Do Not Track / Global Privacy Control: the Website doesn’t currently respond differently to browser “Do Not Track” or Global Privacy Control signals.

We don’t currently show a cookie consent banner.

Your choices

You can ask us to access, correct, or delete the personal information you’ve sent us through the contact form or by email, or that we hold about you in our CRM, by writing to info@netcoresolutions.com. We’ll respond within a reasonable time, and may need to verify your identity first. We may keep some information where the law requires it or where it’s needed for legitimate business records.

Opting out of outreach emails: Every outreach email includes an opt-out link, and you can also reply asking us to stop or write to info@netcoresolutions.com. We honor opt-outs promptly, and always within 10 business days.

Children’s privacy

The Website is intended for businesses and professionals. It isn’t directed to children under 13 (or under 16), and we don’t knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we’ll delete it.

Where this policy applies

NetCoreSolutions is based in Illinois and serves organizations in Illinois. The Website is operated from the United States, and information is handled under Illinois and applicable U.S. federal law. Our service providers may store or process information in data centers in other locations.

We don’t collect biometric identifiers or biometric information through the Website.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll post the updated version on this page and change the date at the top. If we make a material change, we’ll take reasonable steps to highlight it on the Website.
